Start with the work, not the label
Businesses often ask which hiring model is “best.” There is no universal winner. The better question is how much work you have, how predictable it is, how much control you need, how specialized it is, and how much recruiting and management you want to own.
Employee
An employee can make sense when the role is core, ongoing, highly integrated and large enough to justify a permanent position. You gain direct control and deeper internal context, but also take on the normal responsibilities of employment, management, equipment, benefits/compliance where applicable and capacity planning.
Freelance virtual assistant
A freelancer can be flexible and cost-efficient, especially when you can define the role clearly and are comfortable recruiting, vetting, onboarding and managing the person directly. The tradeoff is that continuity, backup coverage and performance management generally remain your responsibility.
Agency or managed virtual support
A managed provider can reduce the amount of recruiting and operational setup the client handles. Depending on the provider, the service may include vetting, account management, replacement support, processes or access to multiple specialties. That added structure may come at a higher price than hiring a freelancer directly.
Project specialist
Some work should not be forced into an ongoing VA role. A website redesign, brand identity, complex automation or defined media project may be better scoped as a project with a specialist and a clear deliverable.
A simple decision framework
- Choose an employee when the role is permanent and deeply embedded.
- Choose a direct freelancer when you want flexibility and are comfortable managing the relationship.
- Choose managed support when you value structure, vetting or continuity.
- Choose a project specialist when the output is finite and skill-specific.
Many growing businesses use a combination.
How ProVirtual approaches it
ProVirtual PH is designed for businesses that need flexible execution across more than one function. A client may need recurring admin or lead-generation hours while also needing occasional website, creative or media projects. The support model should follow the workload instead of forcing every need into one job description.
